Adobe PDF Spaces Introduces Shared AI Conversations for Document Collaboration
Adobe has expanded its Acrobat platform with PDF Spaces, a new tool designed to centralize document management and facilitate team collaboration through artificial intelligence. The feature enables users to aggregate various file formats into a single workspace where they can query data and share insights with colleagues, streamlining the process of project analysis and decision-making.
Adobe has introduced PDF Spaces within its Acrobat ecosystem, a feature designed to consolidate disparate documents into a single workspace where teams can engage in shared, AI-driven conversations. The update aims to address the inefficiencies of traditional document review by allowing users to aggregate sources and query them collectively, thereby establishing a transparent record of how project conclusions are derived.
The new functionality allows users to upload up to 100 files into a single space, including PDFs, Word documents, PowerPoint presentations, Excel spreadsheets, links, and notes. This aggregation creates a centralized repository that serves as the foundation for interaction with Adobe’s AI assistant. By consolidating these materials, the tool seeks to reduce the fragmentation of information that often occurs when multiple browser tabs or separate applications are used during the initial phases of a project.
Once sources are gathered, users can prompt the AI to identify key objectives, constraints, and context within the documents. The system generates summaries and extracts specific data points, such as deadlines or client requirements, without requiring the user to manually open each file. Crucially, every response provided by the assistant includes citations that link directly to the original passages in the source documents. This citation feature allows users to verify the accuracy of the AI’s output and distinguish between validated dates and mere hypotheses.
The tool also supports customizable assistant profiles, allowing users to tailor the AI’s analytical approach based on their specific role, such as focusing on data analysis or communication strategy. For complex projects, the assistant can help compile lists of questions for team review by synthesizing information from briefs, studies, and meeting minutes.
A central component of PDF Spaces is its sharing capability, which addresses accountability in collaborative workflows. Users can share the entire workspace with team members, who can then explore the documents and interact with the AI assistant independently. This allows different stakeholders to extract relevant information based on their specific responsibilities—for instance, a budget manager might focus on financial constraints while a project manager reviews timelines.
Recipients do not require an Adobe account to access shared spaces or view the content. The feature also includes an automatically generated audio summary of the document collection, which users can edit before sharing to ensure the team receives a precise overview. When source documents within the space are updated, the shared version syncs automatically, ensuring all participants are working with the most current data.
PDF Spaces is included in Adobe’s Acrobat Studio and Acrobat Express subscriptions. The company announced these new sharing options in May 2026, positioning the feature as a solution for teams seeking to streamline project initiation and context transfer. By enabling shared interrogation of documents, Adobe aims to provide a verifiable trail of information retrieval, reducing the risk of misinterpretation or reliance on unverified data during collaborative projects.
